Vacancy description

Assisting with a variety of administrative and general office assistant duties, which may include:

  • Typing, photocopying, scanning, printing, locating and archiving files, data entry, data verification, reception duties and special projects.
  • Assisting the accounts and records departments with administration duties and covering reception such as:
  • Statement reconciliation
  • Accounting data entry
  • Banking
  • Credit control
  • Maintaining electronic files
  • Typing (copy and audio)
  • Records entering
  • Ensuring that the contact database and our cases records are up to date
  • Liaising with records to ensure that deadlines are entered onto our system and liaising with other staff to ensure that tasks are completed
  • Archiving files
  • Reception cover:
  • Promptly answer incoming telephone calls
  • Record caller’s details accurately and forward calls to relevant staff members, voicemail or take messages as appropriate
  • Updating our telephone answering service with daily absences, checking overnight telephone messages, updating night service
  • Manage use of meeting rooms, including preparing rooms for use and clearing after use
  • Receiving clients and other personal callers to the firm
  • Maintain the reception area in a tidy and orderly fashion
  • Provide ad-hoc administrative support to other staff members
  • The above is not an exhaustive list of duties and you will be expected to perform different tasks as necessitates by your changing role within the organisation and the overall business objectives of the organisation
